DocuSign New Hire Template User Guide	All active University students, faculty, staff and affiliates have access to receive, complete and sign documents sent to them in DocuSign. Your VCU email address is required when logging in and you will be directed to CAS to enter your VCU eID and password. For general information and resources on DocuSign, click here.
Requesting Elevated Access	VCU employees have sender access defaulted, so if you only need to send templates then you do not need to request access. However, if you need to create templates, you need to follow the below steps to request author-level access. To request Author access, you will need to submit a service desk ticket. A new ticketing system, Cherwell, was recently implemented. Please submit all DocuSign requests through Cherwell. To request Author access, please follow the below steps: Click here and enter your VCU eID and password to login to Cherwell. This should take you to the home screen. Click New IT Support Ticket Click Accounts & Access → Document Management → DocuSign → Request Account Enter your eID or name in the Requested For section and your name should populate. Detail your request in the Request Description. Click Submit to submit your request. Each user must request his/her own access to DocuSign. You may not submit a ticket for another person. IT will confirm when your access has been granted.
Find the HR New Hire Template	Click here to log into DocuSign. You can search existing templates via the search bar, but the search bar will only search the menu tab selected. For instance, if you are in My Templates and search for the new hire documents template, there will be no results. To find the HR New Hire Documents template, click on Templates link on the blue bar, at the top. Go to the Shared with Me tab or the All Templates tab and search for “new hire.” Make sure the template you use is owned by Romona Willoughby.
View the HR New Hire Template	Click on the name, HR New Hire Documents, to view the documents within the template. You will see a breakdown of those documents on the right side of the screen. You can click on the drop-down arrow to the right to view them in a PDF format.
Use the New Hire Template	Click the blue Use button to the right of the template and you will be prompted to list recipients, provide the email language for each recipient and send the template. In addition to the specified email, recipients and senders will also receive notifications when a template is viewed and action is taken.
Sending as an Envelope	Some departments need to attach additional documents to the template before sending to the employee. In order to do this, you must send this template as part of an Envelope. Sending as an envelope allows the sender to attach additional documents to the template without changing the template. To send the HR New Hire Documents as an Envelope, follow the below steps: 1. Login to DocuSign and click on the Manage tab. 2. Select Send an Evelope from the New drop-down menu. 3. Select Use a Template from the options menu. 4. Select HR New Hire Documents from the pop-up screen and click Add Selected. Doing so will populate the template documents into your envelope and still provide the option for the sender to upload additional documents. 5. Upload or add additional documents to the envelope as needed. 6. Fill in the recipient information just as you would if you were only sending the HR New Hire Documents as a template. 7. Scroll down and enter the custom email language for each recipient. 8. Once all documents, recipients and email language is listed, click Next. 9. Make any changes needed to the required fields in the template, if any, and click Send.

The sender will receive an email notification when he/she needs to sign a document and when all recipients have signed and completed their parts. The sender will also be able to login to DocuSign and see what the next pending action is while the template moves through the workflow.
