25th Percentile

The 25th percentile of the employee's pay range.

Annual Salary

Dollar amount in the Annual Salary field in NBAJOBS. For faculty and staff, this is their annual salary. For hourly, student worker, and work study employees, this is a calculated amount.

Classified State Pay Band

Pay band code associated with the state role code in which the employee's job is assigned. There are salary ranges associated with state pay band. These ranges apply only to classified jobs.

Compa Ratio

The relationship of the employee's salary as compared to the pay range midpoint expressed as a number. A midpoint of 1.0 means that the employee's salary equals the pay range midpoint.

 

 

Calculated field (see description)

Default FLSA Status

Indicates whether the defaulted status of the employee's job code is exempt or not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA). This value exists only for staff positions.

Direct Report Count (Faculty)

The total number of faculty directly reporting to the employee.

Direct Report Count (Other)

The total number non-staff and non-faculty directly reporting to the employee.

 

 

Calculated field based on the number of total non-staff and non-faculty employees a manager is supervising

Direct Report Count (Staff)

The total number of staff directly reporting to the employee.

E&G Salary

Total salary charged to E&G (state) funds based on the most recent labor distribution record associated with the employee's job as of the date the report was run.

 

 

Calculated amount of the annual salary that is charged to E&G (general) funds based on the labor distribution tied to the job.

Campus Email Address

The employee's VCU email address.

PPAIDEN

Email tab, CA email type

Access to this form is typically granted to only central HR and Payroll staff

Employee Category

Grouping of employees by their classification.

 

 

A value derived by grouping the various employee types into groups. Available groups and associated employee classes are as follows:
Affiliates - AF;
Adjunct - AJ;
Staff - UF, UP, LE, and C1 - C6;
Faculty - VQ, F1 - F6, M1 - M6, O1 - O6;
Exempt Other Temporary - EX;
Graduate Assistant - GA, G9;
Hourly - H1
Post Doc - PD
President - PS
Student Worker - SW
Work Study - WS

Employee Group

Grouping of various employee types. In Banner, "Employee Group" is a field on the PEAEMPL form. Example - employees in employee classes UP or UF will typically have an employee group of "Univ and Academic Professional".

Employee's preferred first name and legal last name.

PPAIDEN

Legal First Name, Middle Name, Last Name, Preferred First Name, Prefix

Access to this form is typically granted to only central HR and Payroll staff

FLSA Mismatch

An indicator that the defaulted FLSA status of the employee's job code does not match the employee's current FLSA status. A result of "Yes" in this field indicates a need for immediate review.

 

 

A match check based on the Position FLSA Status and the job code Default FLSA Status

FTE

Full-time equivalency. In most cases, this is 1 or less and typically indicates the number of full time hours worked by the employee.

Home Department Code

Primary department code. Each employee has only one home department and this department code is typically tied to the employee's primary role/job at the university.

Hourly Rate

Employee's per hour pay rate.

Job Begin Date

The earliest begin date for the specific position number and suffix combination. If an employee leaves this specific job (position and suffix combination) and returns into the same job, the job begin date does not change.

Job Department Code

Department code associated with each job the employee holds at any given time. Because this field is tied to each job, an employee may have multiple job department codes if they hold multiple jobs in different departments.

Job Employee Class Code

A two-digit code (either alpha or alpha-numeric) that represents the employee's type of employment relationship at VCU.

Description associated with employee class code that provides greater detail about the employee type.

Job End Date

Adjunct, Graduate Assistant, Exempt Temporary, and special rate positions have future end dates that corresponds with when the contract/assignment ends. Other position types typically have future end dates only when the employee is on a visa with an end date. For employees on a visa, their job will have an end date that corresponds with the visa expiration date. Job end dates due to visa expiration date are either extended or removed if the employee's status changes.

Job MBU Code

Major Budget Unit code to which the employee's job department rolls up to.

Job MBU Name

Description of Major Budget Unit code to which the employee's job department rolls up to.

Senior Management level code to which the employee's job department rolls up to.

Job Status

Indicates whether an employee's job has a status of active or on leave of absence.

Job Suffix

Suffix associated with each position number. A suffix of "SR" indicates a special rate (supplement) job.

Job VP Level Code

Months

Indicator of whether the staff or faculty listed is a 9, 10, 11, or 12 month employee.

Non E&G Salary

Total salary charged to non-E&G (non-state) funds based on the most recent labor distribution record associated with the employee's job as of the date the report was run.

 

 

Calculated amount of the annual salary that is charged to non-E&G (non-general) funds based on the labor distribution tied to the job.

Pay Per Week

Used only for Exempt Temporary and Adjunct Employees to help determine compliance with the FLSA minimum salary level threshold.

 

 

Field is located on the Employee Roster and is calculated using the number of weeks in the contract period divided by the contracted salary amount.

Position FLSA Status

Indicates whether the employee is exempt or not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA).

Position Number

Unique or pooled position number for each job the employee currently holds at VCU.

Part of the primary identification fields when attempting to find specific employee job information

Position Type

Primary job indicates the employee's primary role at VCU. Overload jobs are additional job(s) the employee holds and are not related to their primary role. Secondary jobs are special rate jobs, which are temporary pay supplements to the employee's primary job for taking on temporary duties or interim appointments.

Range Penetration

The relationship of the employee's salary to the pay range minimum. For example, a range penetration of .25 means that the employee's salary equals the 25th% of the pay range.

Retirement Plan

Retirement plan in which the employee is currently enrolled. Only classified, university staff, faculty, and post docs are eligible for retirement benefits.

SOC Code

The Standard Occupational Classification (SOC) code is a federal statistical standard used to classify all employees into occupational categories for the purpose of collecting and reporting data.

State Hire Date

The most recent continuous state service (no breaks in service). If a faculty or staff transferred to VCU from another state agency with no break in service, this date will reflect the state employment begin date previous to VCU.

State Role Code

Five digit numeric code assigned to each broad group of occupationally related positions that represent different levels of work or career progression.

University Job Code

A 6 digit code (five numbers followed by a Y or an N) that represents a staff employee's current job slotting. All staff, including Classified employees, are slotted into a University Job Code for the purposes of data analysis and reporting.

University Job Family Code

A code associated with the employee's job family. A job family is a group of jobs related by common vocations or professions. Jobs in a job family have related knowledge, skills, abilities (competencies) and other factors that represent a career path from entry level jobs to senior executives.

Job family name that is associated with the employee's job family. A job family is a group of jobs related by common vocations or professions. University Job Title

A descriptive job title tied to the University Job Code that represents a staff employee's current slotting. Example: HR Specialist 3.

VCU Hire Date

The most recent continuous service (no breaks in service) at VCU in any employee classification. This date includes VCU service in all employment types. If an employee transitions from one employment type to another, this does not change unless they have a break in service (they separated from VCU and returned at a later date).

VCU Max

The maximum of the employee's pay range. In certain scenarios, employees may be paid above the pay range maximum.

VCU Mid

The midpoint, or median, of the employee's pay range. The midpoint represents a job's "going rate" in the market.

VCU Min

The minimum of the employee's pay range.

VCU Years of Service

The total years of service as of the report run date based on the employee's VCU Hire Date.

VID

Employee's Banner identification number, which starts with the letter V followed by eight numeric values. This is automatically generated by Banner when the person is first entered in the system, is shared among areas outside of HR that use Banner, and does not change over time.

Various

 

This field is the primary identification to finding the correct employee on many Banner HR forms.

Wireless Allowance

Indicates whether the employee is currently receiving an allowance every pay period for a wireless device. Two wireless device related reports are available in the VCU Reporting Center for additional details on employees who receive wireless device allowance. The reports can be found in the Personnel Administrator folder.

Working Title

A title that describes the function of the position in greater detail or to be more easily recognized for both internal and external communications. Working titles are assigned in alignment with business needs and industry standards and should reflect the nature of work and level of authority within the position. Working titles may, and often do, differ from the assigned university job title.

Years in Current Job

The total number of years in the current position number and suffix combination, based on the job begin date.

 

 

Calculated field based on the job begin date of the specified position and suffix combination

Years in Current Job Code

The total number of years in the employee's current university job code. This is based on the earliest effective date the current university job code was entered on the employee's job record in Banner. This may not take into consideration if the employee was slotted incorrectly and later corrected.
