Banner HR Employee Data Elements Definitions

Field Type notes:

  • Free form text field type typically has no limitations of what can be entered in the field, other than a character limit.
  • Drop Down/Validated field type allows for selection of only one value from an available list predetermined values, unless otherwise noted in the Field Definitions column. 
  • Date field type allows entry of date only.

Note regarding employees with multiple positions: each active employee has a primary position and must have a primary position at any given time. If an employee holds positions in addition to their primary role, these positions are entered in Banner and are labeled as overload. For example, a full time faculty who also has an adjunct position will have the faculty job flagged as primary in Banner and the adjunct job flagged as overload. Overload jobs are similar to secondary assignments.

Faculty who are receiving supplemental/temporary pay for additional duties such as serving in an interim role may have an additional "job" entered in Banner. This practice of separating supplement pay for additional duties is not consistent across all units. The Banner term for this type of record is flagged as "Secondary". This is only a Banner term and should not be confused with the definition of a secondary assignment.

Employee Class

Employee class categorizes the employee into a specific employee type that helps determine the employee's benefit eligibility and which policies govern their employment at VCU. While employees can hold multiple positions simultaneously, at this level, an employee can have only one employee class that is associated with their currently active primary position.

Based on the available values:

  • Employee classes 2 through 20 are considered faculty. Within this group, Clinical MD and Clinical Other are typically faculty within the School of Medicine. These employee classes are broken down to reflect 9/10 or 12 month appointment as well as the range of FTE in which the position falls for benefit eligibility purposes. Faculty positions are considered FLSA Exempt by default and this is indicated by the letter "E" at the end of the employee class description.
  • Employee classes 23 - 31 are considered staff.

Employee Group

VCU Defined grouping of employee classifications into broader categories. The groups include the following employee types based on the person's current primary position:

Academic Administrator*

Academic Professional

Classified Staff - staff in the state's classified employee type.

Executive and Sr Leadership - University and Academic Professionals whose position requires contracts. Typically senior level leaders.

Faculty - Non-Qatar teaching and research faculty and clinical faculty who are not considered Academic Administrator

Post Doctoral - Postdoctoral scholars governed by Postdoctoral Services.

VCU President - only the current president of VCU.

Qatar Faculty - Teaching and research faculty located at the Qatar campus.

Salaried Non Benefit Eligible - Graduate Assistants, adjuncts, and temporary exempt other employee types.

Univ and Academic Professional - University and Academic Professional staff not considered Academic Professional or Executive and Senior Leadership.

Hourly and Student Worker - employees in an hourly or student employment positions.

Position Number

Full-time equivalency. In most cases, this is 1 or less and typically indicates the number of full time hours worked by the employee.

Adjuncts teaching in the summer may have an FTE that is greater than 1 due to the condensed nature of summer teaching schedule.

Job Change Reason

A specific reason that resulted in a change on an employee's position. The change reason may include a reason for ending an employee's job. Each change to a job must have a change reason. Annual Salary

For faculty, staff, and post docs, this is their annual salary.

For other salaried employees such as adjuncts and graduate assistants, this is the total amount they are expected to receive for the contracted period.

For hourly, student worker, and work study employees, this is a calculated amount projected based on their hourly rate and FTE.

The following are Faculty tracking fields readily available in Banner but currently not utilized, along with the standard definition of the field as presented by Ellucian. While the standard definitions are in place to guide institutions, VCU can define the use of the field differently.

AAUP MemberIndicates whether the faculty member has a membership to the American Association of University Professors.
Birth State or ProvinceIdentifies the birthplace of the faculty member.

Tenure Credit this ApptNumber that reflects the amount of credit given to the tenure candidate for this appointment. This field is used for reporting purposes.
Tenure FTEFull-Time Equivalence (FTE) factor associated within the department. The value entered in this field represents the individual FTE component that has contributed towards the total FTE of tenure for a faculty member.

Next Review DateDate when the faculty member has their next review for appointment or reappointment. 
DisciplineThis field identifies the primary field of academic concentration of the faculty member. A list displays the possible values.
IPEDS Contract TypeFor faculty members who have a tenure code of Non-tenured or Ineligible, the IPEDS contract type indicates the length of the contract with the institution. The contract type is only collected for employees with these tenure types. Values include the following:
  • Annual
  • Multi-year
  • Less than annual
  • Indefinite duration Contract
Tenure Tracking Begin DateDate from which the tenure process began for this faculty member. This date determines the length of time a faculty member is on track.
Tenure Review Date

Date the faculty member should have their next review.

Next ReviewDate after the Rank Effective Date on which the faculty member will be eligible for a promotional review. 
Decision for RankDecision made about the promotion.
