PEAEMPL: Employee Status Review

Overview

Establishes employee information, including employee type, service dates, leave and benefit categories, and if the employee is active or terminated.


Fields Definitions
  • ID: Employee's VID
  • Employee Status: This is the employment status of the employee. All employees should have a PEAEMPL status of Active even when they are on leave-without-pay, unless they are "terminated" (have ended their employment).
    • A - Active
      • If an employee is Active, but all other PEAEMPL fields are blank, the employee is a NEW HIRE.
      • If the employee is Active and PEAEMPL fields are filled, the employee is ACTIVE and requires a JOB CHANGE action reason (any action reason excluding HNW, HRE, or HTA). 
    • B - Leave without Pay with Benefits
      • Illness, Conditional-medical, FMLA-medical, Workers’ Compensation, Educational, Study Research, Suspension, Layoff-severance expired, Transition from 12- to 9-month faculty, TWFR
    • L - Leave without Pay without Benefits
      • Conditional-personal, Educational-less than half pay, Layoff-placement only, Personal, Military
    • F - Leave with Pay with Benefits
      • Illness, Disability-long and short, VSDP, Workers’ Compensation, FMLA, Personal, Layoff-Severance, Military, Pre-Disciplinary Action
    • P - Leave with Partial Pay with Benefits
      • Educational-more than half pay, Study/Research-over 50%, Military-with supplement
    • T - Terminated
      • If the employee is Terminated, the employee is a REHIRE.
  • E-Class: The Employment Class is a two-character code which indicates certain attributes of an employment situation. E-Classes may be used to describe an employee, a position, or a job. The Employee Class on this form refers to the employee, and should be the best-fit description of the employee's overall employment activities.
  • Employee Group: This is a subcategory of E-Class and defaults based on e-class.
  • Leave Category: This is a subcategory of Leave based on e-class.
  • Benefit Category: This two-character code reflects the grouping of employment benefits which have been chosen by, or assigned to, the employee; cannot be blank. Benefit category initially defaults based on employee E-class
  • Home Department (COA/Org): Home department is made up of the COA (Chart of Accounts value) and Org (Organizational unit) which 'own' the employee; this should usually match the Primary job Timesheet Organization. It controls security access to the employee record on PEALEAV and is used along with District/Division for check distribution. COA is the campus or major accounting entity for financial reporting purposes; Org indicates a subsidiary organizational unit within the COA. Org must be a valid value from the drop-down table
Service Dates
  • Wage Determination Date 
    • This date is the first date of the current period of employment at the University without a break in service. It will change only if a person is rehired after separation from the University.
    • Will match VCU hire date, state hire date (if later), or Affiliate start date. Not used to calculate any leave, benefits, or recognition.  
  • State Hire Date
    • Most recent state hire date for benefited employees.  Reflects continuous state service only.  Does not include state service prior to a break in service. May include periods of service outside of VCU for benefited state transfers.   
  • Leave Anniversary Date 
    • Total benefited state service. Reflects all benefited state service including all non-concurrent Commonwealth of VA state service and military service. All periods used in calculating leave accrual, collapsed into one continuous length
    • Leave anniversary date will be the 10th or 25th and includes adjustments for employees with eligible prior state service to account for leave accruals. (If the employee start date is between the 26th-9th, the Leave Anniversary Date should be the 10th of that month. If the date falls through the 11th-24th, the date should be the 25th).
  • Base Service Award
    • This date will reflect all employment periods at VCU which are eligible for inclusion for Service Awards.
  • VCU Hire Date 
    • Most recent VCU hire date. Does not include periods prior to a break in VCU employment
      VCU Hire Date is the first date that the employee is in a continuous paid position with VCU. This will be the same as the Original Hire Date unless the employee was originally hired as Unpaid, in which case it must then be updated the first time the employee is hired for a paid position and should never change again. (If an employee has only held unpaid positions, this date will remain at the default value, which is the Original Hire date.)
  • Last Worked Date
    • This is the last day the person was eligible to receive pay and have benefit coverage. It will match the Personnel end date on the termination job record, but may be earlier than the PEAESCH termination date (this should be blank for active employees).
  • Termination Date
    • Determined based on the last official employment date. This should be blank for active employees.
  • Employee Termination Reason
    • For terminated employees, the Termination Reason will be the last two-digits associated with the termination reason code on the most recent TERME. NOTE: Use NOAEPAF in Banner to complete TERME ePAF.
  • Leave Begin Date
    • Date (DD-MON-YYYY: i.e., 25-APR-2017) of the first day an employee is on full leave of absence.
  • Leave Return Date
    • Date (DD-MON-YYYY: i.e., 09-APR-2018) on which an employee expects to return to work from a leave of absence
