Application Custom Fields

When you have a signed offer letter and completed background check, the final step in the Talent@VCU hiring process is to complete the Application Custom Fields.

This step will provide  the final information needed to load the candidate into Banner.

Before you complete these fields, it is essential that you call the candidate to get their Social Security Number (SSN) and date of birth (DOB) so that you can complete Express Hire in Banner. You will need the Banner VID to enter in Talent@VCU. You can utilize the Express Hire quick reference here

Once the Express Hire process is completed, login to Talent@VCU and go to Recruit → Manage Candidates. Select the candidate being  hired (click on their name). This will enable you to view the applicant’s profile. If the candidate applied to multiple requisitions, make sure you have the correct requisition selected and scroll down to the Application Custom fields in the Summary tab.

Click Edit Custom Fields located at the bottom right.


The custom fields section includes  section breaks/headers to make data entry easier by dividing the sections into similar categories. For instance, the job information is in one section and the leave information is in another. The section breaks are designated by a checkbox. You do not need to check these boxes.

Required Fields for Data Integrity 

In order for VCU's onboarding and reporting runs smoothly, there are some application custom fields that should always be entered, regardless of the position you are filling. The fields are below:

Name
VID
Supervisor VID
Job Change Reason
Position Title
POSN Number
Index1
Percent 1
Start Date
EClass
Home Org
Timesheet Org
Employee Group
Job FTE
Hours Per Day
Hours Per Pay

Note on Salary: Any candidate hired above the 75th percentile of the salary range must have Central VCU HR approval.

Please be sure these fields are completed for each candidate hired in Talent@VCU Recruiting.


Note: After you have entered information into all of the required fields, be sure to check for small red asterisks on the bottom right of any given field. If you see one, that means that Talent will not accept the entry in that format. For instance, if you enter "100%" in the Job FTE field you will see this:

If you click save with that asterisk still showing, then none of your data will save and you'll have to re-enter it all.

Wherever you see that red asterisk, revise the field until you no longer see it.

In the example above, removing the "%" will accomplish this.


After entering and saving the custom fields, print the applicant profile screen and send this to HR Operations via ImageNow.

After all the custom fields are entered and saved, change the candidate’s status to Hired. You can change the status by clicking on status displayed in the applicant summary or go back to Manage Candidates. You can change the status to Hired from the displayed in the applicant summary from the Applicant Profile. Scroll up to the top of the screen where you see the current status displayed and click on it.


A pop-up will appear that allows you to change the status. Change the status to Hired and click Submit only after you have completed the Application Custom Fields.

Final Recruitment Steps 

Once you have marked your hire in Hired status, the only remaining action item is to go back to Manage Candidates and move the other, not-selected candidates to a Closed - Disposition Applicant status and select the disposition reason. This step is cruicial for VCU's reporting processes, including Affirmative Action reporting.

To disposition candidates, navigate to the Manage Candidates screen and change the remaining applicants' statuses to Closed - Disposition Applicant. You will be prompted to select a disposition reason at that time. Once that is complete, no further action in Talent Recruiting is needed.
